Choosing a HubSpot expert isn’t simply about finding someone who knows how to use HubSpot.

The right support depends on what you’re trying to achieve. You might need someone to configure an established process in HubSpot, migrate data or build complex integrations. Or you might need more commercially focused support to improve the sales process, automation, reporting and technology behind your wider sales operation.

That distinction matters because an independent HubSpot consultant, a HubSpot agency and a HubSpot Solutions Partner can offer very different types of support.

Before choosing one, here are 10 things worth considering.

## **Key takeaways**

- Start with the commercial problem you need to solve, not HubSpot functionality.
- Look for expertise that matches your specific requirements.
- HubSpot certifications demonstrate platform knowledge, but experience matters too.
- Decide whether you need specialist commercial expertise or primarily HubSpot implementation expertise.
- Understand who will actually be doing the work.
- Consider how HubSpot fits into your wider sales and technology infrastructure.

## **1. Do they understand what you’re trying to achieve commercially?**

Before discussing workflows, properties, integrations or HubSpot subscription levels, a good consultant should understand what you’re actually trying to improve.

Perhaps your sales cycle is too long. Opportunities aren’t progressing consistently. Your team is spending too much time on administration. Reporting isn’t giving management enough visibility. Or you’re investing in HubSpot but not seeing enough commercial value from it.

The technology comes afterwards.

If the initial conversation focuses predominantly on what HubSpot can do rather than what your business needs to achieve, there is a risk of building your processes around the platform instead of configuring the platform around your business.

## **2. Do they have expertise beyond HubSpot?**

HubSpot expertise is important. But HubSpot itself is rarely the problem you’re trying to solve.

If you’re improving your sales pipeline, the person advising you should understand how an effective sales process works.

If you’re implementing automation, they need to understand the processes being automated.

If you need better reporting, they should understand which commercial metrics matter and what decisions the data needs to support.

This is particularly important for SMEs that may not already have dedicated sales operations, CRM or revenue operations expertise internally.

A HubSpot expert who also understands the underlying commercial challenge can help you decide **what should be built**, rather than simply how to build it.

## **3. Do they have the right HubSpot expertise?**

HubSpot is now a broad platform covering sales, marketing, service, content, data, commerce, automation, reporting and AI.

Someone who has spent years working primarily with Marketing Hub isn’t necessarily the right person to redesign a complex sales pipeline. Equally, a Sales Hub specialist may not be the right choice for a sophisticated website or Marketing Hub implementation.

Look for experience that matches the work you actually need.

HubSpot certifications can provide useful evidence of platform knowledge. HubSpot Academy offers certifications across areas including Sales Hub, Marketing Hub and Revenue Operations, with certifications awarded to individuals who complete the relevant training and assessments.

But certifications should be considered alongside practical experience rather than used as the only measure of expertise.

## **HubSpot Consultant or Solutions Partner: Which Do You Need?**

This is one of the most important decisions to make.

Neither option is automatically better. They can simply suit different requirements.

### **When should you choose an independent HubSpot consultant?**

A specialist HubSpot consultant can be particularly valuable when you need **commercial expertise as well as HubSpot expertise**.

You may know something isn’t working but not necessarily know what the solution should look like.

Your sales process may need redesigning. Your pipeline stages may not reflect how opportunities actually progress. Sales and marketing may need better alignment. Your reporting might not give management the information it needs. Or you may need to decide where automation and AI could genuinely improve productivity.

In these situations, the requirement isn’t simply to implement something in HubSpot.

You need someone to help determine **how the commercial process should work first** and then configure the technology to support it.

Working with an independent specialist can also mean the senior expert who diagnoses the problem is directly involved in designing and implementing the solution.

### **When should you choose a HubSpot Solutions Partner?**

A HubSpot Solutions Partner can be particularly well suited to businesses with an established commercial infrastructure that primarily need additional HubSpot expertise or implementation capacity.

You may already have defined sales processes, lifecycle stages, reporting requirements, data structures and internal ownership.

The requirement is therefore less about determining how your commercial operation should work and more about implementing, migrating, integrating or scaling it effectively within HubSpot.

HubSpot’s Solutions Partner Program includes consultancies and agencies specialising across CRM, sales, marketing, customer success, web development and other areas. Partner organisations can also achieve HubSpot accreditations demonstrating expertise in specific services.

Larger partners can provide access to multiple specialists, which can be valuable for complex implementations requiring several disciplines.

The important point is that **Solutions Partner status and independent consultancy describe delivery models, not quality levels**. The right choice depends on the expertise and resources your business needs.

## **4. Will you actually work with the expert?**

This is easily overlooked during the buying process.

The person leading the initial consultation or sales process isn’t necessarily the person who will deliver the work.

That’s not inherently a problem. Larger projects can benefit from having several specialists involved.

But you should understand the delivery model before committing.

Ask who will lead the project, who will configure HubSpot, who will make strategic decisions and who you’ll work with day-to-day.

For smaller businesses requiring specialist expertise, direct access to an experienced consultant can be particularly valuable because there are fewer layers between identifying a commercial problem and implementing the solution.

## **5. Do they take a process-first or technology-first approach?**

HubSpot contains a huge amount of functionality. That doesn’t mean you need to use all of it.

Technology-first implementations can quickly create unnecessary complexity: too many properties, workflows, pipelines, dashboards and processes that teams struggle to maintain.

A better approach is:

**Business objective → Process → People → Technology**

Understand the outcome first.

Design the process required to achieve it.

Understand how people need to work.

Then determine how HubSpot and other technology should support them.

For example, before building sales automation, you should understand how leads should be qualified, who should own them, what happens next and where human interaction adds value.

Only then should you automate it.

## **6. Have they worked with businesses like yours?**

Industry experience can be useful, particularly in regulated or highly specialist markets, but it’s not the only type of relevant experience.

Company size matters too.

A CRM architecture designed for a multinational with dedicated operations teams may be completely inappropriate for an owner-managed business with ten employees.

Consider whether the consultant understands your sales model, resources, internal capabilities, sales cycle and level of complexity.

For SMEs, simplicity often matters more than sophistication.

The objective should be to create a system your business can actually operate, not demonstrate everything HubSpot is capable of doing.

## **7. Can they think beyond HubSpot?**

HubSpot may be at the centre of your sales and marketing technology, but it’s unlikely to be the only platform you use.

Your wider stack might include prospecting tools, data providers, accounting systems, communications platforms, AI tools, meeting software and other specialist applications.

A good HubSpot consultant should understand where HubSpot fits into that wider environment.

More importantly, they should be prepared to recognise when HubSpot isn’t the best tool for a particular requirement.

This is one area where independence can be valuable. A platform-agnostic consultant can assess whether you need additional HubSpot functionality, another technology entirely or simply better use of the software you’re already paying for.

## **8. Do they understand data, automation and reporting?**

A well-designed CRM should do more than store contact information.

The way your data is structured affects automation, reporting, AI and almost everything else you subsequently want to achieve.

A HubSpot expert should therefore be comfortable discussing data structure, properties, lifecycle stages, pipelines, integrations and data quality.

The same applies to reporting.

Creating dashboards is relatively straightforward. Deciding **what your business needs to measure** requires more commercial understanding.

Your reporting should help answer meaningful questions:

Where are opportunities being lost?

How quickly are deals progressing?

Which activities contribute to conversion?

Where are bottlenecks developing?

How reliable is the forecast?

The goal isn’t more reports. It’s better commercial visibility.

## **9. How will they approach training, adoption and handover?**

Even a technically excellent HubSpot implementation has limited value if nobody uses it properly.

Ask what happens once the build is complete.

Will your team receive training relevant to their roles? Will important processes be documented? Will someone explain why the system has been designed in a particular way?

Most importantly, will your team be capable of managing the platform without becoming unnecessarily dependent on the consultant?

Good HubSpot support should build internal capability as well as improve the technology.

## **10. Are the scope, pricing and ongoing support clear?**

Finally, make sure you understand what you’re actually buying.

HubSpot consultants and agencies may charge hourly rates, fixed project fees, retainers or a combination of different models.

Comparing headline prices without comparing scope can therefore be misleading.

Understand what is included, what isn’t, who will deliver the work and how changes to scope are handled.

You should also establish what happens afterwards.

Some businesses want a defined implementation followed by handover. Others need ongoing optimisation, technical support or strategic advice as their requirements evolve.

Neither approach is necessarily better, but it should be clear before the project starts.

## **Questions to Ask a HubSpot Consultant Before Hiring Them**

A good discovery conversation should help you understand much more than someone’s knowledge of HubSpot.

Consider asking:

- What experience do you have with businesses like ours?
- Who will actually be doing the work?
- Which areas of HubSpot do you specialise in?
- How will you understand our existing sales and marketing processes?
- Are you an independent consultant or HubSpot Solutions Partner?
- How does that relationship affect the technology you recommend?
- What happens when HubSpot isn’t the best solution for something we need?
- How will you train our team and hand the system over?
- How do you measure whether the project has been successful?
- Exactly what’s included in the proposed cost?

The answers should give you a good indication of whether you’re buying HubSpot implementation or broader expertise that can help improve the underlying commercial operation.

## **Does a HubSpot Expert Need to Be a Solutions Partner?**

No.

HubSpot Solutions Partner status and HubSpot expertise aren’t the same thing.

HubSpot Academy certifications are awarded to individuals and validate knowledge in particular areas of the platform. HubSpot accreditations, by comparison, recognise Solutions Partner organisations that have demonstrated expertise in particular services.

Solutions Partner status can therefore be useful when you specifically want an organisation operating within HubSpot’s official partner ecosystem.

But an independent consultant can also have extensive HubSpot experience, certifications and implementation expertise.

The more useful question is whether the person or organisation has **the right expertise for the problem you’re trying to solve**.

## **Choosing the Right HubSpot Expert for Your Business**

Don’t choose a HubSpot expert based purely on the number of certifications they hold, the size of their agency or their position within the partner programme.

Start with what your business needs.

If your commercial processes are already established and you primarily need HubSpot implementation expertise and additional resources, a Solutions Partner may be a strong fit.

If you need senior commercial expertise to help improve those processes before determining how HubSpot should support them, a specialist independent consultant may make more sense.

Either way, technology should support the way your business needs to operate — not dictate it.
